CLUB EVENTS
Thank you for considering running an event for Lake Arrowhead Club, Inc. club (aka LAC club). These events are welcomed by our community so be creative and have fun!
What is a Club event?
A Club event is an activity, affair or happening that is usually, but not exclusively, held at the Lake Arrowhead clubhouse, Lake Arrowhead beach or Lake Arrowhead’s Butterfly field. All current LAC club members and their guests are invited.
Who can run a Club event?
Only a LAC club MEMBER may run an event for the LAC club. To be a LAC club member, you must be paid in full in the current year of both your LAC club dues as well as your LAC easement fees.
Who is a guest?
Any non-resident friend of an LAC Club MEMBER. (No person who is eligible to become a LAC club member, but is not may be the guest of an LAC club member.)
LET’S GET PLANNING!
Now, have something fun in mind? Here are some tips/guidelines to help you get started:
- Step 1: If needed, book the clubhouse, beach or Butterfly field by emailing the Rentals Chair.
- Step 2: Determine the cost of your event and let a board member/rentals chair/membership chair know.
You may run a totally free event if its total cost will be $100 or less OR charge a fee to attend.
- In 2024, the Board approved up to $1,000 in the club budget to fund up to 10 events that cost $100 or less so we can provide several free events to members each year.
- If your event will cost more than $100, please consider how much money you will need to charge members in order to cover the cost of the entire event. Try to collect monies ahead of time so you don’t get promises without attendance.
- If your event is a fundraiser, thank you! Please consider how much to charge individuals and/or families. Again, collect ahead of your event.
- If guests are invited, please collect from them if necessary ahead of time. Although members may be free to attend, usually a small fee is collected for their guests. You may reach out to a board member for guidance.
The activities closet in the main hall (locked door to the right of the big closet) is available for your use. Plates, napkins, flatware, table cloths, etc. are in the closet. Please use what you need from the closet before buying new. Contact the rentals chair for the key.
- Step 3: Make a flyer and have the board secretary send it out via email and post on Facebook to advertise your event. Remember these events are for club members and their guests and should be clearly advertised that way. Please have the LAC club secretary use the LAC club email list for distribution.
- Step 4: Keep all of your receipts and submit them to the board treasurer for reimbursement. If you are charging individuals in order to participate, have attendees Zelle lakearrowheadnj@gmail.com (Preferred) or collect cash/check. Keep clear records of monies brought in VS what was spent and present the profit/loss to the board. All cash needs to be sent to the board treasurer in check form or zelled after collection.
NO REIMBURSEMENTS WILL BE MADE WITHOUT RECEIPT
- Step 5: Please don’t hesitate to ask for help! Many LAC club members are willing to help with set-up and clean-up.
- Step 6: If you would like the bar open during your event, please contact the Bar Chair for a bartender. OUR BAR LICENSE ONLY ALLOWS US TO SERVE LAC CLUB MEMBERS AND THEIR NON-LAKE ARROWHEAD GUESTS.
